Create Units
Member Types:

Create and manage Units to organize departments within your clinical site, define shift availability, indicate capacity, assign focus areas, and provide unit information.


Create a New Unit

Step 1: Access Units

From your Home page, click "Units" on the navigation bar.

NOTE: If you do not see the "Units" tab, click "More", then select "Units."

Step 2: Create a New Unit

From the Manage Units page, click "+ Create New Unit." The Create New Site Unit page opens.

Step 3: Complete the Unit Information

Enter all required information and any optional details that apply to the Unit. When you have finished entering the Unit information, click "Save."

Manage Units

Step 1: Open a Unit

Locate the Unit you want to update and click the "Edit" (pencil) icon.

Step 2: Update the Unit

You can edit any field on the Edit Site Unit page. When you finish making changes, click "Save."

NOTE: Days of the Week and Unit Capacity are read-only and are determined by the shifts created for the unit.


Create Unit Shifts

Step 1: Create a Shift

Click "New Shift" to create a single shift.

Click "Add Shifts" to create multiple shifts at once. Use this option when the same shift occurs on multiple days of the week.

Step 2: Enter Shift Information

Enter the shift name, days of the week, max students, shift start and shift end time.

Set the Status to "Active", then click "Save."

FAQ

Q: What is the difference between Active status and Deleted status?
A: Units that are Active appear for selection on rotations and within reports. Units that are deleted are not available for selection or reporting.
Q: What does "Retired" mean?
A: Mark the Unit as retired when it is no longer in use, but should remain in the system for reporting purposes.
Q: Can I permanently delete a Unit?
A: No. Units are marked with a Deleted status rather than being permanently removed.
Q: Where do our partners see Unit information?
A: Your partners can view information on your units when requesting rotations and on your entity profile page.
Q: Do I have to complete every field?
A: No. Complete all required fields. Additional fields, such as Budgeted Staff, Cost Center, Days of the Week, and Average Daily Patient Visits, are optional but may be used for reporting.
Q: What are Focus Areas?
A: Focus Areas allow you to associate specialties with a Unit for each available Focus Area Group.

An Entity is a School, Clinical Site, High School, Company, etc.

The Profile allows you to enter and edit personal information in ACEMAPP.

A rotation is a scheduled clinical experience.

Use the Unit Conflict Checker to compare a rotation's scheduled days and shift times with the shifts configured for the selected Unit. Review any conflicts before saving the rotation to help ensure the schedule aligns with the Unit's availability.
